Our client, an organic farming company is looking for an administrative assistant for their Oceanside, CA location. This is a temp to hire position.

SUMMARY: This position performs administrative and office support activities. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required.


• Data Entry – Sales Orders, Purchase Orders, Expense POs

• Invoicing in PR3 – Prophet (Accounting/Finance System)

• Input and Issuing of credit memos

• Accounting – Deposit Checks, Remitteances, Aging Report, Gathering invoices to be paid.

• Food Safety – Administer Food Safety Certificates / Audits/ Organic Certificates

• Set up new customer / vendor in the system.

• Create item Code ID’s, Receiving Logs / Pack Outs

• Coordinate Freight and tracking inventory

• Implement and monitor programs as directed by management, and see the task through to completion

• Generate memos, emails and reports when appropriate

• Maintain office supplies by checking inventory and order items

• Respond to questions and requests for information

• Answer incoming calls and assume other receptionist duties when needed

• Follow the Good Manufacturing Practices (GMP), Safe Quality Food standards (SQF) and safety rules (including Personal Protective Equipment (PPE)
